EXPECTATIONS & protocols

-To confirm your experience, a 25% non-refundable retainer is required at time of booking. The remaining balance is due no later than 72 hours prior to your experience. A reservation is not confirmed until payment is received. Dates will not be held without payment.

-Our standard service area includes most locations within Cape Cod and 25-miles West/South/ or North of Buzzards Bay. Locations beyond this radius may be accommodated based on availability and will incur additional travel fees. Private locations within the included radius are subject to our management team’s approval, based on factors such as accessibility, parking, and terrain conditions.

-Our picnic crews are not available outside of our included service radius during peak season months (June-September). If your location is outside of our included service radius, please contact us before completing a reservation.

-Additional travel and labor fees may apply for picnics outside of our service radius. Please contact us for a quote if you have a specific location in mind.

-Both glass and alcohol are STRICTLY PROHIBITED on public beaches in MA. Please do not bring alcohol to your picnic unless you are on private property. This not only puts your guests at risk, but it also jeopardizes our company’s access to beach use.

-Should your desired location require permitting, it is typically up to the client to obtain necessary permitting. We are happy to provide information and assistance as needed by event.

-The floral arrangements used at our picnic experiences contain seasonal florals grown locally by our very own team members. We cannot accommodate specific floral requests unless the “rose” add-on is selected, in which case, roses will be provided. Please see the guest guidelines section below for additional information.

-Our picnic menus may vary slightly due to seasonal availability of ingredients. We reserve the right to substitute menu items with equally delicious and gourmet alternatives.

-All bookings are subject to availability. Popular dates book out quickly.

-A picnic crew member will be in contact with you to confirm and finalize the details of your experience 1-2 weeks prior to your scheduled experience. Unless your matter is urgent, please hold your questions and updates until we reach out.

-Our team is easily accessible by email and phone call availability is reserved for clients who already have experiences scheduled. Please contact us via email.

GUEST GUIDELINES

To ensure your experience with Little Palm Picnics and Events is as seamless and beautiful as possible, we kindly ask that you review and respect the following guidelines:

*We reserve the right to decline service to anyone.

*Please be respectful of the beach environment, fellow guests, and others enjoying nearby public spaces.

*Our picnics are time- and daylight-sensitive. If you arrive late, we cannot guarantee extended time unless this has been arranged in advance.

*A 10-minute grace period is offered, but beyond that, your end time remains unchanged.

*Please do not approach your picnic early. Our team uses every moment to perfect your setup. If you see your picnic being prepared, kindly wait until your official start time to enter the area.

*Do not move picnic tables or styled equipment. These items are arranged for both function and aesthetics and must stay in place.

*You are responsible for all items during your reserved time. Please treat everything with care and avoid stains, spills, or breakage.

*All floral arrangements are rental items unless otherwise arranged. If you would like to keep the flowers, we offer upgrade options for take-home bouquets.

*While we welcome your vision, all picnic experiences come as part of pre-designed packages. We’ll do our best to incorporate your preferences within the scope of the package, but final aesthetic and creative decisions rest with our team.

*In the case of rain, strong winds, high tides, or other beach hazards, we may suggest an alternate location to protect your picnic experience and ensure everyone's safety and ultimate enjoyment.

*If you request a location outside our standard service area (within 25 miles of Buzzards Bay), it may incur a travel fee, based on distance and site accessibility. All alternate locations must be pre-approved by our team prior to your event.

*Please do not leave your picnic unattended for extended periods. You are responsible for the safety of the setup and belongings during your reservation.

*We love capturing the beauty of our picnic experiences and often share photos from real events on our social media and in our marketing. These images reflect the genuine moments and styled details we’re proud to create.
